Bring in your accountant, auditor or tax adviser for exactly the work you need

Your accountant does their best work with clean books and the full context. Yako lets you invite them for a defined piece of work, with a start date, an end date and only the permissions that work needs. When it’s done, access ends on its own.

An engagement, not a permanent login

Outside professionals don’t join your team as permanent members. Each one gets an engagement: access to one workspace, for a set period, with a chosen set of permissions. Hire a tax adviser for one VAT return, an auditor for the year-end, or your accountant on an ongoing basis. The same firm working with several of your companies simply has an engagement in each.

There’s no shared password and no seat to remember to remove. On the end date the access stops, and you can revoke it sooner at any time.

Choose what they can do

When you invite someone, you pick the kind of work and Yako pre-selects sensible permissions, which you can adjust:

  • Audit: export, annotate, flag transactions for review, propose journal entries, upload documents.
  • Bookkeeping: export, annotate, write invoices and bills, upload documents.
  • Tax: export, annotate, upload documents.
  • Advisory: export and annotate.

They see a focused view of your books (reports, the chart of accounts and whatever their permissions open), limited to the period you set. A banner reminds them which period they can see and when their access ends.

They propose. You approve.

The most useful thing an accountant can do in Yako is propose journal entries: accruals, reclassifications, year-end adjustments. Those never post straight to your books. They wait in a queue where a member of your team ratifies or rejects each one, with a reason for a rejection. It’s the same rule that applies to everything in Yako: work can be prepared by anyone, but a person you trust decides what stands.

Every proposal, flag, note and document they add is recorded in the audit trail, with who did it and when.

Why accountants like it

  • They get books already coded and approved, with each figure traceable to the bank line or document behind it.
  • They can export what they need instead of waiting for files by email.
  • Their adjustments go in as proposals, so the record of who decided what is clear for both sides.
  • Questions are asked and answered next to the transaction, not in a long email thread.

Yako keeps the books organised so your accountant can spend their time on judgement and advice. It works with them, not instead of them.

Your own team: roles and permissions

For people inside the business, each member has a role in each workspace:

  • Owner: full control, including billing and who has access.
  • Admin: everything an accountant can do, plus settings and the team.
  • Accountant: runs the books end to end: codes and approves transactions, posts journals, payroll, tax filings and period locks.
  • Operator: invoices, bills, customers and vendors, documents and notes, but can’t code bank lines or post journals.
  • Viewer: read-only access to dashboards and reports.

The owner can add or remove specific permissions for a role or a single person. Coding and approving are separate permissions, so one person can prepare and another can check. Team members are unlimited, and engagements for outside professionals are included in the price of every workspace.
