From bank statements to financial statements
How it works
- Upload a statement for one of your bank accounts: PDF, CSV or Excel (XLSX or XLS), up to 10 MB.
- Yako reads the lines into transactions with date, description, amount and balance. CSV and Excel files are read at once; a PDF takes around 30 seconds.
- Each line gets an account, coded by you, your team, in bulk, or by the optional Bookkeeper agent.
- A person approves it. Only then is the journal entry posted, stamped with who approved it.
- Reports update from the posted ledger: trial balance, P&L, balance sheet, cash flow and more.
Statements in the format your bank gives you
Bank exports come in many layouts. Yako finds the header row, works out which column is the date, description, debit, credit and balance, and reads the many date formats banks use. If a file can’t be read, it tells you why (for example, that it couldn’t find the date column) instead of failing silently.
- The same file uploaded twice is recognised, so lines aren’t doubled.
- If your bookkeeper already coded the statement in a spreadsheet, a Category or account column is matched to your chart of accounts and those lines arrive coded, ready for approval.
- Receipts, invoices and other documents go into the Documents vault, by upload or by forwarding to your workspace’s own email address, where AI pulls out the key fields.
A thousand lines without coding them one by one
Group by similar puts transactions with matching descriptions together once the parts that change every time (dates, reference numbers, transaction ids, IBANs) are set aside. Pick an account for the group, and 47 fuel payments are coded in one step. Money in and money out are never grouped together, and lines in a closed period are skipped.
Bulk coding only codes. Approval is still a separate, deliberate step. If you want help with the coding itself, the Bookkeeper agent can do it, and a person still approves its work.
Nothing reaches the books until a person approves it
Every transaction moves from uncoded to coded to approved. Coding and approving are separate permissions, so a bookkeeper can code and your accountant can approve, or a solo owner can do both. Approval and its journal entry are saved together: you never end up with an approved line that has no entry behind it.
Change an approved line and its journal is voided and posted again. Every action is recorded in the audit trail with who did it and when.
Several bank accounts, several currencies
- Add each bank account once; every statement is uploaded against the account it belongs to.
- Filter the transactions list by bank account to work through one at a time.
- Foreign-currency accounts keep transactions in their own currency, with the exchange rate you enter. Reports are in your workspace’s base currency, and month-end revaluation books the unrealised gain or loss.
- Bank reconciliation compares your ledger balance with the statement’s closing balance at month end.
The reports you get
All reports read the posted general ledger, follow your fiscal year, and accept any custom date range, with a comparison column for the window before.
- Trial balance, with revenue and expenses reset each fiscal year and prior profit in retained earnings
- Profit and loss, from revenue through gross profit to net income, with margins
- Balance sheet and cash flow (operating, investing, financing)
- Trends, budget variance, accounts receivable and payable aging
- General ledger, revenue by customer, expense by vendor and FX exposure
Click a figure on the P&L to see the ledger lines behind it, and from there the journal entry and the source document. Export any report to CSV or Excel, or print it to PDF for your accountant or bank. After each month closes, Yako emails a plain-English briefing of the month to the workspace’s owners, admins and accountants.
Closing the month and starting mid-year
- Period locks freeze a closed month. Nothing dated on or before the lock can be posted, edited or voided, and unlocking needs a written reason.
- Opening balances let a business that already exists start from where it is.
- Prior-year figurescan be imported from an uploaded P&L or trial balance, so your trends have history from day one.
